Required Procedures

Visa Renewal


Apply through the University. (Individuals may not apply directly.)
Applications may be submitted up to three months before the expiration date of your visa.
The Student Office will send an "Action Required" message through the Campus Terminal when the application period approaches.
Please submit the application form through APU-manaba.

Visa Changes

If your visa status changes, please inform the Student Office.
Applications to change to a student visa are submitted through the University. (Individuals may not apply directly.)
When changing to any other visa status, you must apply at the Immigration Bureau directly.

Work Permit Applications

International students must obtain a work permit in order to engage in any work for compensation.
Please downlad and enter the necessary information and print them out and submit them to the Student Office.

When Going Through Immigration

If you are leaving Japan temporarily (e.g. to return home during holidays, or to travel abroad) you must declare your intent to return to Japan when going through the airport you are departing from.
When exiting Japan, be sure to check the appropriate box on the Embarkation Card for Reentrant and pass it to immigration officer when going through Immigration.
If you do not apply for the re-entry permission, your student visa will be cancelled and you will be unable to return to Japan.

What should I do when...

■If I move and my address changes
Bring your passport and residence card to Beppu City Hall to the Citizens' Section on the basement level to change your address.

* If you have trouble communicating in Japanese when dealing with Beppu City Hall, you can ask for help from the Cultural and International Affairs Division, located on the 4th floor. Staff from this office can accompany you to help you with the procedures. Cultural and International Affairs Division: Open Wednesdays and Fridays from 10:00 to 17:00.
* NEVER write on the back of your residence card by yourself. Doing so will invalidate your card.

■If items other than my address change
If you need to change your name, date of birth, nationality/region or any item other than your address, please take your residence card to the Immigration Bureau in Oita and complete the necessary procedures.

Once you receive your new card, please let the Student Office know that changes have been made so we can confirm them.

■If I’ve lost my residence card
You need to report the loss to the Beppu Police Station, and ask for a certificate. You are required to bring your passport as ID.
Please apply for your new card at the Oita Branch Office of the Immigration Bureau. You will need to take your passport and a photograph (4 cm (H) × 3 cm (W)) taken within the last three months.
Once you receive your new card, please let the Student Office know that your card has changed so we can confirm it.

■if you participate in APU Overseas Student Exchange Program
If your student visa is still valid and you plan to return to Japan within one year, you do not need to do anything in advance, but you will need to file for a Special Re-entry Permit at the airport before you leave the country.

If your status of residence expires while you are abroad, you will need to obtain a new visa to return to APU. You will have to complete all of the Certificate of Eligibility (COE) forms and send them to APU.
We start processing these forms three months before the first day of the semester of your scheduled return to APU, so please make sure you send them as early as you can.

Details will be provided at the study abroad guidance session for students scheduled to participate in exchange programs.

■If I accidentally wrote on the back of my residence card
If you have written on the back of your residence card, it is no longer valid and you will need to have your card reissued by the Immigration Bureau.
Please apply for your new card at the Oita Branch Office of the Immigration Bureau. You will need to take your passport and a photograph (4 cm (H) × 3 cm (W)) taken within the last three months.
Once you receive your new card, please let the Student Office know that your card has changed so we can confirm it.

■If I am looking for a job after graduation
You are not allowed to leave a few credit uncompleted so you can spend an extra year hunting for a job.
If you would like to continue looking for a job even after graduation, you must apply before you graduate to change your status of residence to Designated Activities.
You must file this application in person at the Immigration Bureau, and you will need a letter of recommendation from the university. (As a rule, each student is entitled to only one letter.)

*Even if you have a letter of recommendation from the university, it does not guarantee that your application for Designated Activities status will be granted.
