1. Details of the Degree Conferral Ceremony

Format

In-Person

*Live streaming (You Tube Live / Facebook Live) will be done at the same time.

Time Doors Open (Registration Opens): 11:00
Ceremony: 12:00 - 13:00  Handing certificate: 13:40 - 16:00
Location B-Con Plaza Beppu, Convention Hall
*You must use public transportation. Please avoid coming by personal vehicle.
*We expect that public transport will be crowded just before the ceremony, so please be sure to leave yourself plenty of time.
Eligible Participants

Graduates, Family, Guardians,
*There is no limit to the number of participants.
*Current students are also allowed to enter the venue.

Items to be Distributed
  • Diploma
  • Certificate of Graduation / Certificate of Completion (Japanese and English, 1 copy each)
  • Academic Transcript (Japanese and English, 1 copy each)
  • Graduation Souvenirs
  • Division / Specialization Certificate (Japanese and English, 1 copy each)
    ※Grad students only, limited to those who meet the requirements.
Notes
  • *Please be sure to bring your Student ID Card. Your card will be required when you enter the venue and receive your diploma.
  • *Please wear formal clothing.

Regarding visa application procedures for family members / guardians coming to Japan, please check the website of the Ministry of Foreign Affairs (go to an external site), and do so at your own risk.
Please note that the university does not issue documents for visa application. Please use a screenshot of this page if necessary to confirm dates of stay.

2. Degree Conferral

In-Person Participants

  • You will have to turn in your Student ID to receive your diploma, so you must bring your Student ID Card.
  • Diplomas will be handed out by the representative of each college and graduate school individually to graduating students. You will not be able to pick up your diploma outside of the times shown below. If you do not pick up your diploma by the deadline, you have to pick it up at Academic Office or by mail. <For those who need to change the name registered in your student record>

* The name registered in your student record will be shown on your diploma. If you wish to change the name that will appear on your diploma, please contact the Student Office by Tuesday, March 4, 16:30. We will be unable to accommodate requests for name changes after this deadline.

For Those who Cannot Attend

  • If you will not attend the ceremony, please check the URL and follow the procedures to have your degree mailed to you.
    *Shipping will be after the day following the degree conferment ceremony.
  • Diplomas will be sent to domestic addresses via Sagawa and to international addresses via EMS.
  • All shipping fees for the diplomas and certificates will be borne by applicants.

  • Academic Transcript (Japanese and English, 1 copy each)
  • Graduation Souvenirs

Shipping times:

Domestic: Around 1 - 3 days (Hokkaido and outlying islands may take up to one week)
International: Around 2 - 3 weeks

FAQ

Receiving the Diploma and Other Certificates

Q.
From when can I receive my diploma and other certificates?
A.

Participate in person: You can receive your documents on the day of the ceremony
Not attend: For those who have completed the procedures according to the "How to Apply for Receipt by Mail" by the prescribed date, their documents will be sent out in order after the date of the graduation ceremony. Documents cannot be sent out prior to the date of the graduation ceremony.

Q.
Do I need to pay for the postage?
A.

Yes. The university will not cover the postage for either domestic or overseas deliveries.

Q.
Can the mailing address be an address outside of Japan?
A.

Yes. We will use services which allow international delivery such as EMS.

Q.
I already submitted my application but would like to change the delivery address. Is this possible?
A.

This is possible depending on when you contact us. Please consult with the Graduation Team (diploma@apu.ac.jp).

Q.
If I have not yet submitted my application after the graduation ceremony, can you send additional certificates along with the free certificates provided with my diploma (i.e., one Japanese and one English copy of my academic transcript and certificate of graduation)?
A.

If you wish to receive more than two copies of your Certificate of Graduation or Academic Transcript, please refer to this page before applying.
* Since additional certificates will be mailed separately from the diploma, you will need to pay an additional handling fee for the additional postage (¥300 yen per certificate).

Q.
Can you send the certificates of graduation and academic transcripts to a different address than the diploma and commemorative gift?
A.

No. All items will be sent in one package to the same address.
