The Student ID Card is an important document that certifies your status as a student of APU. Please always carry it with you and handle it with care.

Your student ID card must be presented in the following situations:
  • When requested by faculty or staff
  • When taking examinations
  • When purchasing bus passes or student fare tickets
  • When entering certain facilities (e.g. APU Library)
  • When borrowing items at the library
  • When applying for certain certificate
  • When using APU facilities or equipment

Guidelines for written name format on Student ID

APU follows the guidelines below on how names are printed on a student ID:

  • 1. Names are written using the Roman alphabet
  • 2. The order is Family Name + Given Name (+ Middle Name)
    If this order differs from how names are written in your home country, a comma will be placed after your Family Name.

Enrollment Confirmation Label on the back of a Student ID

*Please be sure to review the date of validity on the enrollment confirmation label and receive a new one before it becomes invalid.

  • 1. The sticker affixed to the back of the Student ID Card, often referred to as the Enrollment Confirmation Label, serves as proof of current enrollment and indicates the validity period of your ID card. If the date on the label has passed, your student ID is considered invalid. A student ID without this label is also considered invalid.
  • 2. New stickers are available at the Student Office during the validity period. Please visit the office to pick yours up when necessary. Write your current address, etc. on the sticker and affix it to the back of your student ID card. If you're replacing an old sticker, be sure to remove it before applying the new one.

If you need to replace the enrollment confirmation label on the back of your student ID card, it can be sent to you by postal mail. This service is available only within Japan.
To request a replacement sticker by mail, please send the following items to Student Status staff at the Student Office:

  • A copy of both sides of your student ID card
  • A copy of a valid form of ID
  • A pre-paid return envelope (with postage stamp affixed)

Make sure your name and address are clearly written on the return envelope.
Alternatively, you can pick up a new sticker in person at either the Ritsumeikan Tokyo Campus or the Osaka Umeda Campus.

Delayed Graduation

  • 1. Your Student ID card contains a digital record of your expected graduation date, which determines the validity period of the internal data in your student ID. Beyond this date, you will no longer have access to the library and other such services.
  • 2. If you remain enrolled beyond the standard period of enrollment (9+ semesters for undergraduates, 5+ for master’s, or 7+ for doctoral students), please bring your Student ID to the Student Office to update the internal data on your Student ID card. Your updated ID card will be returned within two business days.
Note:

In the case of delayed graduation, students who enrolled at APU before April 2024 must update their Student ID data as detailed above. However, due to a system update that extended the validity period of Student ID cards, students who enrolled or re-enrolled from April 2024 onward (including after a leave of absence or withdrawal), no longer need to update their ID card, even if their graduation is delayed.

Student ID Card Guidelines

  • 1. Do not lend or give your student ID card to others.
  • 2. Do not bend, damage, or deface your Student ID Card. Do not keep it near your cellphone, or other electronics.
  • 3. If you lose your student ID card or if there is any change to your personal details, such as your name, notify the Student Office immediately.
  • 4. If you are issued a new student ID card, or if you lose your student status due to graduation, withdrawal or removal from the register, you must return your student ID card to the Student Office.
