After you graduate from APU, you must take care of the following things before you leave Beppu.

Please allow enough time to complete everything.

At APU

Repay any outstanding AP House fees, rent, APU loans, or leave of absence matriculation fees

* If you do not take care of any outstanding debts by the designated deadline,
the conferral of your diploma and your certificates will be delayed. Diploma and your certificates will be given to students once all debts have been repaid.

Return borrowed library materials and settle any delinquent accounts

Students are not permitted to return library materials by post or to have a proxy return items for them;
this also applies to settling delinquent accounts with the library.

* If you do not return borrowed materials or clear all delinquent accounts by the designated deadline, the conferral of your diploma and your certificates will be delayed. Diploma and your certificates will be given to students once all accounts have been settled.

Submit repayment paperwork for the JASSO Scholarship

Students graduating in March:
The Student Office has been handing out documents related to scholarship repayment at the Student Office counter since mid-October to domestic students graduating in March who have been receiving the JASSO loan-type scholarship. Please be sure to pick up the documents, carefully read them, and follow the necessary procedures to return the scholarship money. Students who are unable to visit the Student Office to pick up the documents should refer to the Campus Terminal message for students who will finish receiving JASSO for further instruction.

Students graduating in September:
Domestic students graduating in September who have been receiving the JASSO loan-type scholarship will be sent a set of documents related to scholarship repayment at the address you registered with the University to have your tuition bill sent after you graduate. Please be sure to receive the documents, carefully read them, and follow the necessary procedures to return the scholarship money.

At Your Apartment

Moving Out

  • (1)

    In order to terminate your rental or tenancy contract, you must notify your landlord, property manager, or real estate agent by the date stipulated in your contract. This is typically done one to three months prior to the date you wish to move out.

    【Note】

    • *Additional charges may be incurred if you do not give sufficient notice before moving out.
      Please read your rental agreement carefully before terminating your contract.
    • *If you can not contact your landlord, property manager, or real estate agent by email or telephone, please consult with the Student Office. (Email: apustu1@apu.ac.jp)
    • *You will not be able to enter Japan with your student visa or use the university guarantor system after you graduate.
  • (2)

    Clean out your room You cannot leave any personal belongings behind when you move out.
    Make sure that you bring all furniture, appliances, bicycles, motorbikes, or any other personal belongings with you. Please consult with the Student Office if you are not in Japan and unable to ask a friend for assistance.

  • (3)

    Return your room key
    Please return your room key to your real estate agent by post. Please consult with the Student Office if you are unable to do so.

Utilities

Cancel Your Utilities

  • (1)

    Remember to cancel your electricity, water, gas, internet, cable, cell phone, and other services.
    Kyushu Electric Power:You can cancel your contract by phone or fax.
    Contact each respective company for information on how to cancel your service.

    Mobile Phone
    au: Call the Customer Support Center and inquire about canceling your contract. (It is possible to call the au Customer Support Center from overseas.)

    docomo: It is possible to have a proxy apply to cancel your contract. The individual serving as your proxy will need to show ID and submit a copy of your ID as well.
    softbank: Call the SoftBank Global Call Center and inquire about canceling your contract.

Please note that the University is unable to apply to cancel a student's utilities on their behalf.

At Your Bank

Close your bank account

Please close any bank accounts that you do not plan to use in the future. Do not attempt to sell or transfer your bank account as it is prohibited by law. (PDF)

    Japan Post Bank
    You must go to a Japan Post Bank to close your account. (It does not have to be the bank where you opened your account. You can close your account at any Japan Post Bank in the country.)
    (If you are not in Japan) It is possible to designate a proxy to apply to close your account on your behalf. Your proxy must submit a proxy letter filled out by the account holder as well as the account holder's bank book and bank card.

    Oita Bank
    It is not possible to cancel your Oita Bank account if you are not in Japan nor is it possible to designate a proxy to close your account for you.

  • (3)

    Mirai Shinkin Bank
    It is not possible to cancel your Mirai Shink Bank account if you are not in Japan nor is it possible to designate a proxy to close your account for you.

Please contact the bank directly if you need information on how to close your account at a bank other than those listed above.

At City Hall (for international students)

Submitting a Departure Notification or Move-out Notification

If you intend to leave Japan, go to your local city hall within two weeks before your date of departure to submit a departure notification. If you will remain in Japan but will move to a different municipality, submit a move-out notification.

Return your National Health Insurance Identification Certificate (Health insurance card)

You may be able to apply for a refund of insurance premiums there.

You will need your Residence card, National Health Insurance Identification Certificate or “My Number Card” if you have it.

At the Airport (for international students leaving Japan after graduation)

Return your residence card at immigration as you depart Japan to have student visa invalidated.

Please note this applies to international students who are leaving Japan.

At the Immigration Bureau

(If remaining in japan for work) Apply to change your status of residence.

*After graduating, you are prohibited from working or looking for work with a college student visa.

Regarding ‘Notification of the acceptance organization’

You will need to submit an organization notification to the Immigration Bureau after your graduation. Submission must be completed within two weeks of graduation. The University is unable to do it for you, so each student needs to deal with the Immigration Bureau directly. You can submit your notification using one of the three methods listed below.

    Submit following two documents.

      *If you continue to study in Japan, you will need a different form. Please consult with the Student Office.

    • (2)

      a copy of both sides of your residence card

    Send to: Tokyo Immigration Services Bureau
    Visa Information Management Section, Notification Reception Desk
    14th floor Yotsuya Tower, 1-6-1, Shinjuku-ku, Tokyo 160-0004
    (Write "Notification Enclosed" in red on the front of the envelope.)

  • 3.

    Submit directly.
    Take forms (1) and (2) listed above to the Immigration Bureau of your region.

Other Items

Send a thank you letter to any organizations or individuals that have provided you with a scholarship or other support.
